Job Description

Position Summary:
The Administrative Assistant serves as the principle assistant assigned to two (2) to three (3) Directors and is part of the administrative support team. Reports to an Executive Director. The role is defined and impacted by the working relationship established with the assigned directors. The work ranges from standard office support assignments to performance of administrative duties involving decision-making and judgment. Public contact is a major component, requiring excellent customer service skills and involving both internal and external contacts. Confidentiality is required.

Qualifications:
EDUCATIONAL REQUIREMENTS
H.S. Diploma/GED

EXPERIENCE REQUIREMENTS
Two (2) years General - Office Experience.
Must have supported a manager or above.

ADDITIONAL REQUIREMENTS

  • Associates Degree preferred


SKILLS AND KNOWLEDGE
Advanced knowledge of Microsoft Office Suite software. Spreadsheets and data management programs.
Working knowledge of a variety of applications, both clinical and non-clinical, that require integration with other computerized applications. Knowledge of or willingness to learn Home Health/Hospice.
Ability to clearly convey, persuade, and negotiate information and ideas to people and groups both in written and oral form to build cooperation and consensus.
Exercises delegated authority to serve as a liaison on behalf of the director by relaying instructions and information and following commitments to completion.
Ability to identify and understand issues, problems and opportunities; determines course of action and appropriate solutions.
Ability to organize and prioritize tasks/projects quickly.

Essential Functions:

  • Manages access to the directors by coordinating their schedules. Uses judgement and independence to make changes to schedules and matters of the directors. Prevents scheduling conflicts or anticipates and resolves conflicts competing with the director's schedule and or priorities.
  • Maintains Kronos oversight and mileage reports for submission to Accounts Payable for all regions. Prepares productivity and payroll reports per directors' requests.
  • Maintains administrative work flow by studying methods; implementing cost reductions; developing reporting procedures.
  • Prepares licensure updates for submission to appropriate governing bodies with Executive Director approval.
  • Prepares documents and statistical reports for the directors.
  • Maintains continuity of administrative work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
  • Contributes to organization success by welcoming related, different, and new requests; helping others accomplish job results.
